How we got here
The Context Space solution was developed within a globally distributed mid-size sister company made up of many offices as well as many hybrid or fully remote employees. Like many organizations, we found our team's productivity hindered by the constant need to navigate multiple systems just to access essential data about our clients, vendors, and projects.
We were also frustrated by how challenging it is to keep information associated with similar entities structured in the same way. We found that eventually any attempt at initial structure devolves into an unstructured mess. When this happens, people don't know where to add new information and cannot easily find information. As this happens, people revert back to using email or chat to ask for information or to communicate it.
Many external applications try to expand into many areas and be all things for their enterprise customer companies. As a result information can be placed in many places, making it much harder for people to find information. Often, these solutions provide no structure, and the responsibility of structure falls on the discipline of individuals, something that is not sustainable in a large organization.
We had real experience with multiple roll outs of external applications where we started out a clear idea of structure to only see it dissolve into an unstructured mess.

How we developed the Context Space Solution
We started simply with structured knowledge stored in a Confluence wiki. However, even here, similar entities were structured differently.
Once we had structured entities, we started integrating external applications like Salesforce, Box, and Teams. We connected these applications in a way that they were similarly structured. Documents associated with an entity were stored in an associated Box folder that also was well structured. We put in controls so that people could not unintentionally change the structure. All chat about an entity was in an associated channel, and all these applications were linked.
Once teams started leveraging these Contextual Spaces, they wanted more information pulled from all other external and internal applications. For example, we started pulling relevant information from internal applications. Data, Reports, and UI Components for the associated entity could be pulled into a Contextual Space.

The benefits we have seen
We have seen a 10%-20% increase in individual and team productivity.
People associated with a particular business entity, say a client, can join the Context Space of any client and rapidly get up to speed.
New members are also able to get up to speed rapidly.
Our use of internal and external applications increased significantly as people were able to access contextual information without having to login to each application and navigate to the relevant info.

The launch of ContextSpaces
Having seen the transformation Context Spaces has had on our sister company, it inspired us to share our solution with others.
We embarked on this journey in 2019 and the solution has evolved continuously with many ideas coming from the teams. We feel other companies can benefit from these learnings and can rapidly boost productivity and speed.
These learnings can be realized by other companies in a much shorter time.
